Before using KORTO, Insa stored documents across email inboxes, shared folders, and desktops — often saved under unclear names, in the wrong place, or lost in long email threads. Searching for the right file wasted time, and keeping track of compliance requirements manually was becoming a risk.

To kick off the integration, we connected Insa's existing file share and email systems, such as MS SharePoint and Exchange, to KORTO. This allowed KORTO to automatically pull documents and organize them without disrupting Insa’s daily operations. For maximum flexibility, files could also be manually added as needed, ensuring full control over the process.
Once KORTO was connected, it automatically categorized documents with system-generated tags. Insa’s team was then able to further refine and enhance these tags by adding custom labels, ensuring that files could be easily located and searched. KORTO’s AI-powered integrations also helped automate the tagging process, improving accuracy and reducing manual effort.
To ensure compliance with data retention policies, Insa implemented action tags within KORTO. These tags triggered fully automated workflows, which tracked the lifecycle of documents — from creation to archiving or deletion. By automating these processes, Insa eliminated the risk of non-compliance and significantly reduced the time spent managing document retention.
With KORTO, Insa enhanced the security and compliance of their document management system. KORTO’s built-in activity logs provided full transparency into document access and changes, while granular access management ensured that only authorized personnel could view sensitive files. Electronic signatures, time stamps, and optional blockchain integration added an extra layer of security, ensuring that documents remained tamper-proof and compliant with industry regulations.
Finally, Insa fully automated their Enterprise Content Management (ECM) processes using KORTO. By integrating KORTO with their existing workflows, Insa was able to automate time-consuming tasks, such as document categorization and retention, freeing up their teams to focus on more valuable work. This transformation significantly improved operational efficiency across the organization.
